ATS Resume Checklist: 8 Checks Before You Export a PDF
An ATS-friendly resume can still look polished. Before applying, verify that text, headings, dates, and keywords are easy to parse and grounded in real evidence.
The short answer
An ATS mostly reads the text and structure of a resume. It does not approve a document because it “looks ATS-friendly.” Before applying, verify that keywords are backed by facts, headings are unambiguous, dates are consistent, the PDF text can be copied, and important information is not trapped in an image.
Eight quick checks
- File format: export a PDF unless the employer explicitly asks for DOCX.
- Text order: copy the full PDF into a plain-text editor and make sure name, experience, and education remain in the right order.
- Clear headings: use familiar labels such as Experience, Education, and Skills instead of relying on icons alone.
- Consistent dates: use one month/year format and reverse chronological order.
- Evidence-backed keywords: place skills in projects, responsibilities, or outcomes instead of pasting a list of fashionable terms.
- Readable contact details: email, phone, and links should be real text, not a background image.
- Focused length: remove old, irrelevant details so the strongest evidence has room.
- Human review: check spelling, links, numbers, and company names. Automation can reduce repetition; it cannot take responsibility for your facts.
The Magic Resume template guide gives you a sensible starting layout for different roles. A template is only the frame—the evidence and its order do the matching work.
If a template looks fine in a browser but copies into a scrambled text order, do not submit it yet. Fix the structure before tuning color or decoration.
